Last week’s post on building a full website in 3 minutes got a great response, so I’m back with another “how to.”
As someone launching my own firm, efficiency is what allows me to work with multiple clients in parallel. There’s no shortcut for the 30-minute first-look review itself. That part needs time and focus.
But everything that happens after? That’s where the gains are made.
To make my process more efficient, I combine a custom-built GPT designed for my 30-minute assessments with Gamma, an AI tool that generates presentations, websites, documents, and social posts in minutes.
Building Before Building
In the early days, I was spending too much time stressing over my stream-of-consciousness notes, how to group them, how to make them client-ready, and how to design them into something presentable.
I started experimenting with Gamma, dropping my notes in to see what it would output. After a few rounds across different clients, I landed on a format I really liked. But I realized I was manually shaping the inputs every time just to get a consistent output.
That’s when I decided to build a custom GPT to:
→ Take my notes and screenshots
→ Synthesize them into key insights
→ Output them in a format Gamma could use instantly
Creating the Custom GPT
I reverse-engineered one of my slide presentations.
Then I asked ChatGPT to create an outline of its structure.
From there, I worked with ChatGPT to build my custom GPT, feeding it sample documents so it could learn exactly how I wanted the information formatted.
It took hours of refining, especially to get the image placement right. But eventually, it worked exactly as I wanted: my notes went in, and a clean, structured, Gamma-ready document came out.
And Then the Build
This is where everything changes.
Once my custom GPT has done its part, Gamma takes over—and the stress of turning raw notes into something client-ready disappears.
In minutes, I go from a text document to a presentation that:
→ Instantly applies a polished, on-brand theme across the entire presentation
→ Formats text, headings, and visual hierarchy so it’s immediately easy to read
→ Automatically balances text and visuals so nothing feels cramped or awkward
→ Gives me a consistent “Brass Finch” look without a separate design phase
→ Lets me make real-time changes without breaking the overall design flow
The impact for marketers is bigger than just “it looks nice.”
It’s:
→ Cognitive offload — freeing up headspace to think about strategy, not slide formatting
→ Decision acceleration — getting insights in front of clients faster so they can act sooner
→ Consistency at scale — ensuring every deck meets the same high standard, no matter the client or timeline
I still make small adjustments—moving screenshots, tightening copy—but the heavy lifting is done for me.
This is the step that takes the process from efficient to effortless. And it’s why Gamma has become one of the most important tools in my marketing stack.
